Job Description

As an Executive Assistant (EA) and Office Manager, you will provide high-level executive support to the CEO and Leadership team. This role requires impeccable organizational skills, proactive problem-solving, and the ability to manage confidential information with discretion. Additionally, you will help manage the day-to-day office operations, fostering a productive and positive work environment for our team.

The ideal candidate thrives on being two steps ahead, loves wearing many hats, and believes no detail is too small.

What You'll Do

Executive Support

  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, coordinating travel arrangements, etc.
  • Oversee the CEO’s schedule, including inbox and calendar management, meeting prep, and ensuring all commitments are efficiently managed
  • Organize and prepare materials for executive and team meetings, including drafting agendas, taking minutes, updating weekly update processes and following up on action items
  • Draft, edit, and proofread correspondence, reports, and presentations with the highest level of accuracy and professionalism
  • Manage expense reports for the CEO, ensuring accuracy and timely submission
  • Anticipate needs and proactively manage executive workflow and priorities
  • Act as a liaison between executives, internal teams, and external stakeholders

Office Management

  • Greet and direct visitors, ensuring a professional and welcoming experience
  • Oversee daily office operations, ensuring an organized, stocked, and well-functioning work environment
  • Manage office inventory, vendor contracts/relationships, service agreements, and coordinate equipment maintenance and repairs
  • Assist with incoming and outgoing mail and packages to the office
  • Assist with invoice processing and vendor coordination
  • Support seasonal planning and product launches in collaboration with internal teams (i.e.. design, marketing, sales, production).
  • Coordinate and support initiatives and events, activities, programs, etc.
  • Assist with any special projects, strategic initiatives, and confidential matters as assigned

What You'll Need

  • 5+ years of executive/C-level administrative support experience
  • Prior experience managing office operations
  • High level of professionalism, discretion, and integrity in handling confidential internal and external communications and information
  • Proven ability to manage multiple high-priority projects and tasks in a fast-paced environment
  • Strong written and verbal communication skills, with the ability to interact effectively with all levels of the organization
  • Adaptable and flexible to changing priorities and business needs
  • Resourceful and solutions-oriented mindset
  • Demonstrate emotional intelligence and an unshakable sense of judgment
  • Be a role model and advocate for Brixton’s culture and values · Proficiency with MS Outlook, Excel, and PowerPoint
  • Ability to support and work flexible hours where needed
